Events Center — Client User Agreement
Booking and use of our facility
This agreement is between Nelson’s Legacy Ventures (NLV) and the client named in the booking confirmation. It covers your reservation and use of our events center. Signing the booking confirmation means you accept these terms.
A Note Before You Begin
Our facility and everything we offer our guests are probably the first of their kind in the industry. Because so much of what makes this venue distinctive depends on how it’s used, we encourage you to review the following carefully. These terms are written to protect your experience as much as ours, and understanding them up front is the best way to enjoy the full benefits of what we’ve built.
- 1
Reserving Your Dates
We hold a date only after we receive your signed booking confirmation and deposit. The deposit is 50% of total cost of rental fee. The deposit is applied to your total but is not refundable if you cancel. Remaining charges are due 14 days before your event unless the booking confirmation says otherwise.
- 2
If Plans Change
Tell us in writing if you need to cancel or move your date. Deposits are not refundable on cancellation. Cancelling close to the event – within 7 days – may mean you owe the full contracted amount. We’ll consider a one-time change if the calendar allows, and a rescheduling fee may apply.
- 3
What You Are Responsible For
Your reservation covers only the event described in the booking confirmation. You are responsible for your guests and vendors, whom we may allow into our facility on our terms – their behavior, their compliance with our rules and their respect for our staff’s direction.
- 4
Our Facility Rules
Our facility rules are clearly posted on our website and on the entry way. Amongst them are:
- No smoking of any kind including vaping
- No guns or weapons allowed except by prior authorization by us
- No outside vendors allowed except by prior authorization by us
- No admissions for those not on the guests list. We strictly enforce capacity limit of our facility.
- Not staying on the premises past the time agreed upon for the event.
- Not stealing / trying to steal or destroying any of our properties.
- We reserve the right to refuse service to anyone.
- 5
Damage and Risk
You are responsible for damage to our property beyond ordinary wear and tear caused by you or your guests. We are not responsible for your property while it’s here, or for injuries unless our negligence caused them. You agree to cover us against claims stemming from your event, except where we were negligent.
- 6
When Events Beyond Our Control Interrupt Plans
If a natural disaster, government order, utility failure, or similar events prevent the booking, neither side is in breach. We’ll work with you in good faith to find a new date.
- 7
Photos and Your Information
We may photograph the venue for our own promotions. We use your contact details only to administer the booking.
- 8
Ending the Agreement Early
We may cancel the booking for non-payment, breach of these terms, or unsafe or illegal conduct and fees are handled as the booking confirmation provides.
- 9
Security Deposit / Damage Deposit
There will be a refundable deposit of One Thousand Ghana Cedis as a security / damage deposit. This amount will be refunded to you within seven days after the event if no damages are found to have occurred to our property as a result of your event.
- 10
Arrival and Departure
Arrival and departure times for an event (as agreed upon) shall be strictly enforced. Arriving late for an event is no grounds to ask to stay long past the closing time agreed upon. We value your time as well as ours.
- 11
Payment Method and Processing Fees
We accept credit card and Bank Transfer for payments. Credit card usage may attract transaction fees charged by the credit card company.
- 12
Event plan / Floor plan deadline
You and / or your vendor (whom will have to agree to our terms to be allowed into our facility) may be allowed to do pre-planning one day before your event.
- 13
Cancellation by Nelson’s Legacy Ventures (NLV)
We may cancel your events and refund your deposit / fees if the venue becomes unusable, eg. Fire, without further liability.
